These Terms of Service ("Terms") constitute a legally binding agreement between you and SmartSchRecords Ghana ("Company," "we," "our," or "us") regarding your use of our school management platform and related services.

By accessing or using our services, you agree to be bound by these Terms. If you do not agree to these Terms, you may not access or use our services.

Important: These Terms are governed by the laws of Ghana. Any disputes will be resolved in the courts of Accra, Ghana.

User Accounts and Registration

Account Creation

• You must provide accurate and complete information during registration
• You are responsible for maintaining the confidentiality of your account credentials
• You must notify us immediately of any unauthorized use of your account
• One account per school institution is required for administrative access

Account Responsibilities

• You are responsible for all activities that occur under your account
• You must ensure all users comply with these Terms
• You must maintain appropriate security measures for your account
• You must promptly update account information when changes occur

Acceptable Use Policy

You agree to use our services only for lawful purposes and in accordance with these Terms. You agree NOT to:

Payment Terms and Billing

Subscription Plans

We offer various subscription plans with different features and pricing. All prices are displayed in Ghana Cedis (GHS) unless otherwise specified.

Free Trial: New customers receive a 30-day free trial with full access to all features.

Limitation of Liability

Important Legal Notice: Please read this section carefully as it limits our liability.

To the maximum extent permitted by Ghana law, SmartSchRecords shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, or use, arising out of or relating to your use of our services.

Our total liability for any claims arising from these Terms or your use of our services shall not exceed the amount paid by you for the services in the twelve (12) months preceding the claim.

Termination

Termination by You

You may terminate your account at any time by contacting us via WhatsApp at +233 50 660 8337 or through your account settings. Termination will be effective at the end of your current billing period.

Termination by Us

We may terminate or suspend your account immediately if you violate these Terms, fail to pay fees, or engage in prohibited activities.

Effect of Termination

• Your access to the services will cease immediately
• You may request data export within 30 days of termination
• We will delete your data according to our retention policy
• Outstanding fees remain due and payable

Changes to These Terms

We may update these Terms from time to time to reflect changes in our services, legal requirements, or business practices. We will notify you of material changes by:
